Order checking/validating by product

This is a very useful feature that makes it very easy to check orders by scanning the product first instead of scanning the order number.

Useful if:

  •  The orders usually have just a few items, and most useful if the order has only one item.
  • The picked items are not organized with belonging picking list/packing slip, but the picked items are stacked in a cart or something in random order.

A typical scenario is if the orders usually are 1-2 items, and the picked items for multiple orders are delivered in a pile to the packer. Most efficient if the products are organized in order succession. Meaning that all the items for order A are placed after each other, then order B etc.

The packer can then just scan the barcode of any item in the picked items. iPacky will then look in the open order to find the first order that has this product. Starting from the oldest order. The order will then be opened for checking, and they scan the item again, and any other items on the order to complete the order check.

After the order check is complete, iPacky will return to the Order checking by product screen and waiting for the next product to be scanned. The order that was scanned has been marked as checked, and will no longer be found there.

Prerequisites

  •  Orders are not fulfilled before iPacky
  • Your shop in iPacky is using the latest internal iPacky version. If the setting below is not visible, please contact iPacky.

Setup

iPacky Dashboard→Settings→Options→Activate order checking by product

You can also select when this is activated to only search picked orders.

If Validate orders are turned on in Settings→Advanced, then Order validation by product will also be available in the home menu.

How it works

  1. Scan a product barcode, or type in the product barcode
  2. iPacky will look in the open orders for an order in the current Shopify location  with this product. If you have selected to only search picked orders, only these will be searched. iPacky starts the search at the oldest order, towards the newest order. It will also ignore any orders that are marked as in use. This ensures multi-user access.
  3. If a match is found, this order will be opened for normal order check. If no match found, an error message will be shown. While the order is opened, the barcode input field is disabled to indicate that the order is being loaded.
  4. The product will need to be scanned again, and any other actions needed to complete the order check.
  5. When order check is complete, this order will be marked as completed, and removed from the search list so that it will not be checked again here.
  6. Start from 1 again.
 
Order validation by product works in a similar way, using only the orders that have been checked, not validated and not fulfilled.

Notes

When entering this screen the first time, it will load the necessary data from Shopify. This might take a few seconds, up to a few minutes depending on the number of open orders.

This data will be kept in memory, so when entering this screen again, it will already have the data in memory. It’s shared between all users of the same Shopify location.

If this data is not referenced in 60 minutes (meaning that this screen is not used), it will unload from memory, and will then again load on entering this screen.

The Reload button is used to refresh this data. Usually only necessary to include orders being placed after the data was loaded. This can be done when getting close to checking all the orders that were loaded in the beginning.
