Incomplete order

Marking an order as incomplete is a powerful tool that improves the workflow.

This is not the same as partially fulfilling an order.

It’s used when an order cannot be completed due to for example missing stock items.

The order can be tagged, a custom attribute can be put on the order to see which items cannot be completed, and an email can be sent internally to a supervisor or back-office to handle what should happen to the order.

The initial setup of this is done in the iPacky Dashboard. See the initial setup section below.

When checking an order in iPacky, there are two entries in the Actions menu. Tag incomplete and Save and mark as incomplete.

The Tag as incomplete, puts the incomplete tags(s) on the order, and closes the order check.

The Save and mark as complete saves the current scan status of what you have scanned so far, puts the incomplete tag(s) on the order, and closes the order check. When opening this order for checking again in iPacky, it will show the items already scanned.

The incomplete can also be used as an Exclude tag filter in the Order list, and Picking lists/packing slips overview. This is set in the Options dialog on those screens, or even better as a default Exclude tag in Settings→Defaults. This will mean that orders marked as incomplete will not be shown again until the incomplete tag is removed from the order in Shopify.

Use case

An order is being checked. It’s discovered that 2 items on the order are out of stock. The packer scans all the other items, and selects Save and mark as incomplete. The order is put aside. The order is now on hold, and since it has been excluded in the picking list overview/Order list it will not be shown. An email is also sent to the back-office with details regarding what items that are not completed. They make a decision whether to refund the client, do a partial fulfillment, or wait for new stock. In this case, they decide to refund the client for the missing items. They do the refund in Shopify, and remove the incomplete tag. They open the order in order preview (eye icon) in iPacky, and write something in the packers note regarding what was decided, and informs the packers that the order can be processed. A packer then opens the order for checking. The items already scanned are marked, and they finish the order check.

Enter the tags that an incomplete order should be tagged with.

Write incomplete order info to the Shopify order

If you would like iPacky to write details of which items cannot be completed into a custom attribute on the order, you can turn that on here. This custom attribute can be viewed when viewing the order in Shopify. The custom attribute is named iPackyIO_<id of location>. The id of the location is useful when you're using Shopify locations. So if the order is fulfilled from multiple locations, you can identify which location these details are for. This info will be updated every time to mark an order as incomplete. The custom attribute is located in the Additional details section. You can click on the edit icon to see an improved layout of the incomplete details. This custom attribute will be emptied when the order is completed in iPacky.

If this is turned on, the order will be opened in Shopify in a new tab in the browser after it has been marked as incomplete.

Send email

If turned on, iPacky will send an email when the order is tagged as incomplete. The recipient(s) are defined in Send updated on email to on this screen. Separate multiple email by semi-colon (;). If no emails are specified, this setting will have no effect.

Email subject

The subject of the email. You can change/translate the text. Do NOT translate/change the values inside double brackets.

Email body

The body of the email. You can change/translate the text. Do NOT translate/change the values inside double brackets.

The email can look like this:
